We have unintentionally added an option to an option set that is assigned to a data element. This data element has already real data captured, including captured data for this incorrect option. Can we delete this incorrect option from the option set? will deletion impact anything in the database?
If there are only a few records with the incorrect option set, I recommend correcting them manually or using the bulk upload app. Once the corrections are done, you can safely delete the option set.
Deleting the option set before making these corrections might leave the fields with this error blank or if any of these are mandatory data elements, it could result in an error. So it’s best to make the corrections first if possible.
If you’re working with an Event or Tracker capture program, you can use the Line Listing app to filter records that contain the specific option set selection. This allows you to trace and review each entry directly in the Capture app. Alternatively, you can export all the data from the system into Excel, making sure to include the relevant data element in the report. Then, use Excel’s filter function to identify the incorrect option set entries, highlight them, and manually correct each one within the instance.
If you choose to correct this in bulk using the bulk upload app you need to use the Event report app to download the entries which will contain their event UID in the excel event report this you can filter entries for correction arrange on the bulk load app and update values. I hope this helps.
